The organisation responsible for looking after your personal data is the University of Leeds Print & Copy Bureau. The University of Leeds Print and Mail Service will collect the following categories of personal data; [your name, email address, username, documents for printing, addresses] obtained for logging into your account, ordering print and delivering print.

If the material that you submit for printing contains the personal data of third parties, it is your responsibility to ensure that you have explained how their data will be used. The University of Leeds will only use the material that you submit in the way that you have requested via the order process (i.e. for printing or reproduction).

Lawful basis

The processing of your personal data is necessary for the performance of the agreement that Leeds Beckett University have entered into with the University of Leeds in order to process Leeds Beckett University’s print or related requirements.

Who might we share your data with?

The information that you provide to the University of Leeds will be stored securely and access will be restricted to those members of staff who need it to fulfil your print order or require information for account management purposes only. The University of Leeds provides reporting information to Leeds Beckett University on all orders placed but will not share your personal data with any other third parties. The University of Leeds does not share the material you submit for processing with any third parties.

Automated collection of personal data

As with most other web servers, when you access the Staff Print Room webpages certain pieces of information you provide will automatically be recorded by the University of Leeds. This will include your IP address, browser type and information relating to the page you last visited. This information is processed to estimate how much usage of the server is made by different categories of users and, in the event of a breach of security, may be used to aid detection.

Cookies

The Staff Print Room webpages use first party cookies; which are small text files placed on your device by the websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site.  The University of Leeds does not use cookies to collect personal information about you; by using our website you agree that we can place these types of cookies on your device.

Retention periods

The University of Leeds will hold your personal information on our systems as long as you remain a customer of Print & Copy Bureau. Once you are no longer a customer, the University of Leeds will securely delete your data after six years in line with the University of Leeds dataretention policy. When items are collected surnames are used to identify orders. These records are kept for six months in the event of a query and then destroyed as confidential waste.

Your rights as a data subject

You have the right to:

·       access your personal data;

·       request the rectification or deletion of your personal data;

·       request the restriction of the processing of your personal data;

·       object to the processing of your personal data;

·       receive your personal data in a structured, commonly used format and to;

·       complain to the regulator (the Information Commissioner’s Office).

The University of Leeds will inform you of any changes to this Notice by means of this website.
